KNOW THE ROLE:

Brown Thomas Galway is currently looking to recruit a HR professional on a 30 hour fixed term contract basis.

The People Support function is responsible for the delivery of a full range of Human Resources and Team Engagement including:

  • Recruitment and selection of all new team members; ranging from posting vacancies and managing the application process through the Companies recruitment system to fielding applications to the relevant managers and assisting with interviewing and selection
  • Acting as the front line contact for all general HR queries throughout the store
  • Administration duties will form a major part of the role including maintenance of the HR filing and information systems for new team members, leavers and absentees to ensure compliance with HR audit criteria.
  • Supporting the wider People team by driving the People agenda and coordinating projects

RESPONSIBILITIES AND DUTIES

Recruitment

Supporting recruitment activities including:

  • Advertising positions
  • Coordinating and conducting Interviews for wide variety of roles with support from store management
  • Agreeing recruitment with concession/cosmetic companies where appropriate
  • Organising recruitment with a particular focus on peak recruitment intake project
  • Screening Applications
  • Coordinating and tracking all applications
  • Making offers of employment and drafting contracts accordingly

Payroll

  • Responsible for the preparation and processing of bi-weekly and monthly payroll
  • Reviewing and ensuring accuracy of approved timesheets, tracking and monitoring updates
  • Administration of the electronic timekeeping system, ensuring valid data transfers to central payroll department
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis for payroll purposes
  • Amend payroll queries through the Time & Attendance system and payroll shared folders for missing or incorrect hours, commission, tax issues etc.
  • Payroll forecasting to ascertain future spending targets and budgets
  • Authorisation of payroll invoices and creation of debit notes where applicable
  • Accruing for payroll purposes based on incoming invoices from cosmetic companies with which there is a cost share in place
  • Processing leavers documentation in timely fashion to comply with audit guidelines
  • Responsible for processing of commission
  • Responsible for processing of concession and cosmetic house commissions
  • Issue bi-weekly & monthly payslips
  • Enters manual sign ins into HR system

Training

  • Supporting training activities across the store
  • Coordinating and supporting the Retail Trainer with induction training for own buy/concession/cosmetic companies
  • Administration of the online manual handling training for induction and refresher training
  • Ensuring all paperwork associated with Induction is completed and returned for audit compliance at each induction.
  • Management and maintenance of HR System

Brand and Concession Partner relationships

  • Concession contact point for first line employment queries
  • Ensuring Vendor Agreements are in place for all relevant roles and processed appropriately
  • Driving a culture of audit compliance and best practice HR standards with concession partners

KNOW WHAT WE’RE LOOKING FOR:

  Experience

  • Proven experience in a relevant high volume administrative role, with a strong focus on compliance and customer service
  • Knowledge of relevant HR policies and procedures and best practice with past experience in the field of HR.
  • A qualification in human resources or a relevant area is desirable; alternatively, the relevant experience is essential

Technical Skills

  • Detailed knowledge of Microsoft Office, in particular Excel
  • Excellent working knowledge of HR systems, in particular Core HR
  • Strong analytical and numeracy skills with excellent attention to detail and consistent standards when dealing with high volumes of data and administration

Personal Attributes/ Behavioural Skills

  • Excellent communication and interpersonal skills, confident and respectful
  • Adaptable yet service orientated with the ability to work to tight deadlines
  • Highly organised and able to manage more than one project at a time
