Description

The Commercial & Marketing Assistant supports the extended Commercial Team for Germany and Austria, currently based in Hilden. All operative tasks and everything related to the maintenance of the German Office is handled by the Commercial Assistant who reports directly to the Region Commercial Manager.

YOU’LL HAVE THE OPPORTUNITY TO:


• Operate independently and pro-actively to resolve routine or day-to-day requests
• Provide support by managing the incoming mail, phone calls, and directing requests to the appropriate people in the organization for resolution or feedback
• Handle all administrative tasks related to German authorities' requirements
• Provide administrative support to the management team of BRP Germany by doing the pre-accounting of all incoming invoices, tracking the company cars, handle requests of German authorities and record management. Keep track of all upcoming costs, invoices and possible savings for all Commercial & Marketing related cost centers
• Coordinate and organize travel arrangements for visitors, in line with established procedures, and coordinate the organization of occasional events for staff and participants
• Responsible for office management: coordinate with facility manager, order office supplies, ensure intact office equipment & kitchen requirements and follow-up of the associated budgets. Ensuring at all times that the office is well stocked and kept kneet
• Fully responsible for the Office move taking place, that includes but not limited to coordinating everything from move-out to move-in, planning dates for moving company, ensuring the depletion of the Marketing Storage to MK, providing instructions to the staff (cleaning out desks etc)
• Manage administrative projects from start to finish under the guidance of the management team
• Evaluate office & administrative processes and pro-actively propose and subsequently implement improvements in collaboration with other team members
• Be an active part of the Customer Relation Management by taking incoming requests and complains, recording them in the CRM system, answer or direct them to the appropriate people
• Manage, execute and send out the Weekly Newsletter on Thursday to dealers. This includes the collaboration with the dealer communications team.
• Back-up for Marketing Advisor Germany and Austria in collaboration with the local Dealer Marketing Advisor.

YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:

• Experience of several years in commercial office environment.
• Excellent ability to write
• Strong German and English skills
• Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint)

• Position based in Germany (office based in Hilden)
• Very little local traveling within the market
• On-going external interaction with dealers & other customers, press and other organizations relating to marketing & communication
• On-going internal interaction with BRP Germany & Benelux staff as well as staff at BRP Europe and BRP worldwide 

This is a temporary role (parental leave) and the time of employment would be from March 2024 - July/August 2025
